By accessing our website athttps://cpaktrucking.com, making a reservation, or using any of our car rental services, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service, along with our Privacy Policy.
These terms constitute a legally binding agreement between you (the "Renter," "Customer," or "you") and Britannia Drive Rentals (the "Company," "we," "us," or "our"). If you do not agree with any part of these terms, you must not use our services or rent any vehicles from us.
Important:These Terms of Service apply to all rentals, bookings, and interactions with our company, whether made online, by phone, or in person at our location.
2. Rental Agreement
Each vehicle rental is governed by a specific Rental Agreement that you will sign at the time of vehicle pickup. This Rental Agreement incorporates these Terms of Service by reference and includes additional specific details about your rental, including:
- Vehicle identification and description
- Rental period start and end dates
- Rental rates and applicable charges
- Insurance coverage selected
- Mileage allowance and restrictions
- Fuel policy and requirements
- Additional drivers authorized
- Special terms or conditions specific to your rental
The Rental Agreement, together with these Terms of Service, constitutes the complete agreement between you and Britannia Drive Rentals regarding your vehicle rental. Any modifications to the Rental Agreement must be made in writing and signed by an authorized representative of our company.
3. Eligibility Requirements
To rent a vehicle from Britannia Drive Rentals, you must meet all of the following eligibility requirements:
Age Requirements
- Minimum Age:You must be at least 21 years old to rent most vehicles. Drivers aged 21-24 may be subject to a young driver surcharge and may have restrictions on vehicle categories available.
- Luxury and Specialty Vehicles:Renters must be at least 25 years old to rent luxury vehicles, SUVs, or specialty vehicles.
- Maximum Age:There is no maximum age limit, provided you hold a valid driving licence and meet all other requirements.
Licence Requirements
- You must hold a valid, full driving licence that has been held for at least 12 months
- Your licence must be valid for the entire rental period
- International renters must present both their home country licence and an International Driving Permit (IDP) if required
- Provisional licences are not accepted
- You must present your physical licence at pickup; digital copies are not sufficient
Additional Requirements
- Valid government-issued photo identification (passport or national ID card)
- Valid credit or debit card in the renter's name for security deposit
- Proof of address (utility bill or bank statement dated within the last 3 months)
- Contact telephone number and email address
Important Notice
We reserve the right to refuse rental to anyone who does not meet these requirements or who we believe may pose a risk to our vehicles or other road users. All documents will be verified at the time of pickup.
4. Booking and Reservations
Making a Reservation
Reservations can be made through our website athttps://cpaktrucking.com, by telephone at+44 161 234 5678, or by email atinfo@cpaktrucking.com. When making a reservation, you must provide accurate and complete information, including:
- Full legal name as it appears on your driving licence
- Valid contact information (phone and email)
- Driving licence details
- Pickup and return dates and times
- Vehicle category preference
- Any additional services or equipment required
Reservation Confirmation
Once your reservation is made, you will receive a confirmation email containing your booking reference number and rental details. Please review this information carefully and contact us immediately if any details are incorrect. Your reservation is not guaranteed until you receive this confirmation.
Vehicle Availability
While we make every effort to provide the specific vehicle category you have reserved, we cannot guarantee a specific make or model. If the reserved vehicle category is unavailable at pickup, we will provide a vehicle of equal or higher category at no additional charge, subject to availability.
Modifications to Reservations
You may modify your reservation by contacting us at least 24 hours before your scheduled pickup time. Modifications are subject to vehicle availability and may result in rate changes. Changes made within 24 hours of pickup may incur additional fees.
No-Show Policy
If you fail to pick up your reserved vehicle within 2 hours of the scheduled pickup time without notifying us, your reservation will be considered a no-show and may be cancelled. No-show reservations are subject to cancellation fees as outlined in our Cancellation Policy.
5. Payment Terms
Accepted Payment Methods
We accept the following payment methods:
- Major credit cards (Visa, Mastercard, American Express)
- Debit cards (with sufficient funds for rental charges and security deposit)
- Corporate accounts (pre-approved business customers only)
The payment card must be in the renter's name and presented at the time of vehicle pickup. We do not accept cash, prepaid cards, or third-party payments except for pre-approved corporate accounts.
Rental Charges
Your total rental charges will include:
- Base Rental Rate:The daily, weekly, or monthly rate for your vehicle category
- Additional Driver Fees:Charges for each additional authorized driver
- Young Driver Surcharge:Applicable for drivers aged 21-24
- Optional Equipment:GPS navigation, child seats, additional insurance, etc.
- Fuel Charges:If vehicle is not returned with the same fuel level
- Mileage Charges:If you exceed your included mileage allowance
- Late Return Fees:Charges for returning the vehicle after the agreed time
- Cleaning Fees:If vehicle is returned excessively dirty
- Taxes and Fees:All applicable VAT and government fees
Security Deposit
A security deposit will be authorized on your payment card at the time of pickup. The deposit amount varies based on vehicle category and insurance coverage selected, typically ranging from £200 to £1,000. This authorization will be released within 7-14 business days after the vehicle is returned and inspected, provided there are no damages or outstanding charges.
Payment Processing
Payment for your rental will be processed at the time of vehicle return. If you have prepaid online, any additional charges (fuel, damages, late fees, etc.) will be charged to the card on file. You will receive a detailed receipt showing all charges.
Billing Disputes
If you believe there is an error in your charges, you must notify us in writing within 30 days of the charge date. Please include your rental agreement number, a description of the disputed charge, and any supporting documentation. We will investigate and respond within 14 business days.
6. Vehicle Use and Care
Authorized Use
You agree to use the rental vehicle in a safe, legal, and responsible manner. The vehicle may only be driven by:
- The named renter on the Rental Agreement
- Additional drivers specifically authorized and listed on the Rental Agreement
- The renter's spouse or domestic partner, provided they meet all eligibility requirements
Vehicle Condition and Inspection
At pickup, you will have the opportunity to inspect the vehicle and note any existing damage on the Rental Agreement. Please conduct a thorough inspection, including:
- Exterior body panels, bumpers, and trim
- Windows, mirrors, and lights
- Tyres and wheels
- Interior upholstery and surfaces
- Dashboard and controls functionality
Any damage not noted at pickup may be considered your responsibility. We recommend taking photos or videos of the vehicle at pickup and return.
Vehicle Maintenance
During the rental period, you are responsible for:
- Checking and maintaining proper fluid levels (oil, coolant, windscreen washer)
- Monitoring tyre pressure and condition
- Ensuring all lights and signals are functioning
- Reporting any warning lights or mechanical issues immediately
- Keeping the vehicle reasonably clean and free from excessive dirt or debris
Fuel Policy
Our standard fuel policy is "Full-to-Full":
- The vehicle will be provided with a full tank of fuel
- You must return the vehicle with a full tank of the same fuel type
- If returned with less fuel, you will be charged for the missing fuel plus a refueling service fee
- Always use the correct fuel type as indicated on the vehicle and in the Rental Agreement
Mileage
Your rental includes a specified mileage allowance as stated in your Rental Agreement. Excess mileage will be charged at the rate specified in your agreement, typically £0.25-£0.50 per mile depending on vehicle category.
Geographic Restrictions
Unless specifically authorized in writing, the rental vehicle may only be driven within the United Kingdom. Driving to other countries, including Ireland, requires prior written approval and may incur additional insurance charges.
7. Insurance Coverage
Standard Coverage
All rentals include basic insurance coverage as required by UK law, including:
- Third Party Liability:Coverage for injury or damage to other people and property
- Collision Damage Waiver (CDW):Reduces your liability for damage to the rental vehicle, subject to an excess
- Theft Protection (TP):Reduces your liability if the vehicle is stolen, subject to an excess
Excess and Deductibles
Standard coverage includes an excess (deductible) amount that you are responsible for in the event of damage or theft. The excess amount varies by vehicle category, typically ranging from £500 to £2,000. This excess can be reduced or eliminated by purchasing additional coverage options.
Optional Coverage Enhancements
We offer several optional coverage enhancements:
- Super CDW:Reduces the collision damage excess to zero
- Personal Accident Insurance:Provides medical coverage for you and your passengers
- Personal Effects Coverage:Protects your personal belongings in the vehicle
- Roadside Assistance Plus:Enhanced breakdown coverage with faster response times
Coverage Exclusions
Insurance coverage does not apply to damage or loss resulting from:
- Violation of these Terms of Service or the Rental Agreement
- Driving under the influence of controlled substances
- Reckless or negligent driving
- Off-road use or driving on unpaved roads
- Damage to tyres, wheels, windscreen, or undercarriage (unless Super CDW is purchased)
- Use of incorrect fuel type
- Driving by unauthorized persons
- Participation in racing, rallying, or competitive events
Personal Insurance
You may choose to decline our optional coverage if you have personal insurance that covers rental vehicles. However, you must provide proof of coverage and ensure your policy provides adequate protection. You remain responsible for any amounts not covered by your personal insurance.
8. Liability and Damages
Your Responsibility
You are responsible for all damage to or loss of the rental vehicle during the rental period, including damage caused by:
- Collisions or accidents
- Weather events (hail, flooding, etc.)
- Vandalism or theft
- Negligent or improper use
- Damage from loading or unloading cargo
Damage Assessment
Upon return of the vehicle, we will conduct a thorough inspection to assess any damage. If damage is found:
- You will be notified of the damage and estimated repair costs
- You will be charged for repair costs up to the excess amount on your coverage
- If repairs cannot be completed immediately, you may be charged for loss of use
- An administrative fee may apply for processing damage claims
Total Loss
If the vehicle is deemed a total loss due to damage or theft, you will be liable for:
- The full value of the vehicle, minus any insurance recovery
- Loss of use charges until the vehicle is replaced
- Administrative fees for processing the claim
- Any towing or recovery costs
Accidents and Incidents
In the event of an accident or incident involving the rental vehicle, you must:
- Stop immediately and ensure the safety of all parties
- Contact emergency services if anyone is injured
- Exchange information with other parties involved
- Obtain contact information from any witnesses
- Take photos of the scene and all vehicles involved

- Cooperate fully with police and insurance investigations
- Do not admit fault or make any commitments on our behalf
Theft or Vandalism
If the vehicle is stolen or vandalized, you must:

- Provide all vehicle keys and documentation
- Complete a theft/vandalism report form
- Cooperate fully with police and insurance investigations
Important:Failure to report accidents, theft, or damage promptly may result in denial of insurance coverage and full liability for all costs.
9. Cancellation Policy
Cancellation by Renter
You may cancel your reservation according to the following terms:
- More than 48 hours before pickup:Full refund of any prepaid amounts
- 24-48 hours before pickup:50% cancellation fee applied
- Less than 24 hours before pickup:100% cancellation fee (no refund)
- No-show:100% of rental charges plus a £50 administrative fee

Early Returns
If you return the vehicle before the scheduled return date, you may be eligible for a partial refund based on the following:
- Daily rentals: No refund for early returns
- Weekly rentals: Refund for unused full days, minus a £25 modification fee
- Monthly rentals: Refund for unused full weeks, minus a £50 modification fee
Early return refunds are processed within 7-10 business days and are subject to deduction of any outstanding charges.
Cancellation by Company
We reserve the right to cancel your reservation or terminate your rental in the following circumstances:
- You fail to meet eligibility requirements at pickup
- You provide false or misleading information
- Your payment method is declined or insufficient
- The reserved vehicle is unavailable due to circumstances beyond our control
- You violate any terms of the Rental Agreement
- We believe the vehicle is being used unsafely or illegally
If we cancel your reservation before pickup, you will receive a full refund. If we terminate your rental early due to your violation of terms, no refund will be provided.
Force Majeure
Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including natural disasters, acts of government, strikes, or other force majeure events. In such cases, we will work with you to reschedule or provide a full refund.
10. Prohibited Uses
The following uses of the rental vehicle are strictly prohibited and constitute a material breach of this agreement:
Illegal Activities
- Using the vehicle for any illegal purpose or in connection with any criminal activity
- Transporting illegal goods or contraband
- Operating the vehicle while under the influence of controlled substances
- Exceeding posted speed limits or engaging in reckless driving
- Fleeing from law enforcement
Unauthorized Uses
- Allowing anyone not listed on the Rental Agreement to drive the vehicle
- Subletting or re-renting the vehicle to others
- Using the vehicle for commercial purposes (delivery, taxi service, ride-sharing) without prior written authorization
- Using the vehicle for driving instruction or lessons
- Pushing or towing any vehicle or trailer
- Transporting more passengers than the vehicle is designed to carry
- Transporting pets without prior authorization and appropriate protective measures
Dangerous Activities
- Off-road driving or driving on unpaved roads
- Participating in any race, rally, or competitive event
- Testing the vehicle's speed or performance capabilities
- Driving through flooded areas or in hazardous conditions
- Overloading the vehicle beyond its rated capacity
Prohibited Modifications
- Making any modifications or alterations to the vehicle
- Removing or tampering with GPS tracking devices
- Disabling or interfering with safety features
- Applying stickers, decals, or paint to the vehicle
Consequences of Prohibited Use
If you engage in any prohibited use:
- Your rental agreement will be immediately terminated
- All insurance coverage will be void
- You will be liable for all damages, losses, and costs
- You will be responsible for all fines, penalties, and legal fees
- You may be banned from future rentals with our company
- We may report the incident to law enforcement
11. Termination Rights
Termination by Company
We reserve the right to terminate your rental and repossess the vehicle immediately, without notice, if:
- You violate any term of this agreement or the Rental Agreement
- You provide false information or documentation
- The vehicle is found to be used for prohibited purposes
- You fail to make required payments
- The vehicle is abandoned or appears to be abandoned
- We believe the vehicle is in danger of damage, loss, or seizure
- You fail to return the vehicle at the agreed time
- Your driving licence is suspended or revoked
Repossession
If we terminate your rental and repossess the vehicle:
- We may enter any premises where we believe the vehicle is located
- We may use electronic tracking to locate the vehicle
- You will be charged for all costs associated with repossession
- You remain liable for all rental charges up to the time of repossession
- No refund will be provided for unused rental time
- You will be liable for any damages or losses incurred
Termination by Renter
You may terminate the rental early by returning the vehicle to our location during business hours. Early termination is subject to our cancellation policy and early return provisions. You must:
- Notify us of your intention to return early
- Return the vehicle in the same condition as received
- Complete all required paperwork
- Settle all outstanding charges
Effect of Termination
Upon termination of the rental for any reason:
- You must immediately cease using the vehicle
- All insurance coverage ends immediately
- You remain liable for all charges incurred up to termination
- You must return all keys, documents, and equipment
- Any security deposit will be applied to outstanding charges

Existing Rentals
Changes to these Terms of Service will not affect rentals already in progress. Existing rentals will continue to be governed by the terms in effect at the time the rental began.
